And most likely, businesses might still rely on them to keep operations running.

But here’s the thing: times have changed, and so have the tools we use to stay ahead. If your business is still tied to spreadsheets, you might be holding yourself back in ways you didn’t even realize.

This guide answers the question in the order you will actually hit it: what a switch involves, what moves and what stays behind, what to do with the jobs already on your calendar, and a three week plan sized for a shop with four trucks and no IT department. How to switch from spreadsheets to field service management software

Most migration guides you will find for this are written for companies with an IT department. They hand you a nine week project plan with a discovery phase, a mapping template, and four to eight weeks of running both systems side by side. That is not what this is for a four truck plumbing shop. For a business your size, switching off spreadsheets is roughly eight hours of one person's time, broken into pieces, spread over about three weeks. The reason it goes wrong is almost never the software. It is that people try to move everything.

Step 1. Decide what moves and what stays in the spreadsheet

Start here, before you touch an export button. Only three things need to exist in the new system on day one:

  • Your active customer list, with addresses and phone numbers.

  • The jobs already booked on your calendar from your cutover date forward.

  • The line items you quote most often, so you are not typing prices from memory in front of a customer.

Everything else stays where it is. Completed jobs from three years ago, the tab of prices you stopped using in 2023, the dead leads, the notes tab nobody has opened since the last van purchase: none of that needs to be in the new system. You need to be able to open the old file, not to live inside it. Save a copy of the whole workbook somewhere you will find it again, mark it read only, and leave it alone.

This is the single biggest reason these switches stall. Owners treat the migration as a data preservation exercise, spend two weeks trying to move six years of job history, get halfway, and quietly go back to the spreadsheet. Move the list of people who might call you again. That is the job.

Step 2. Clean the customer list before you export it

Open the customer tab and cut it down to people who have paid you for something in the last two years. In a typical six year old spreadsheet, that removes about a third of the rows. Then fix the four things that break every import:

  • One name column. Spreadsheets almost always store "John and Mary Reyes" in a single cell, and import templates want first and last name separately. Use Data, then Split text to columns, and clean up the leftovers by hand.

  • One address column. Same problem, worse. "412 Oak St, Springfield, IL 62704" has to become street, city, state and ZIP in four columns. Split on the commas, then check the rows that had a unit number in them.

  • Phone numbers stored as numbers. A spreadsheet will happily strip the leading zero off an area code or turn a number into scientific notation. Format the phone column as text before you export, then spot check twenty rows.

  • The wrong file type. Export as CSV, not as a workbook. If you have any accents or special characters in customer names, use the CSV UTF-8 option so they do not come through as garbled symbols.

A customer import template will ask you for roughly these columns, in this order, and it is worth building your sheet to match before you upload anything:

  1. First name, last name, company name (blank is fine for residential)

  2. Phone, email

  3. Service address: street, unit, city, state, ZIP

  4. Billing address, only if it is genuinely different

  5. Notes: gate codes, dog, park in the alley, the things your techs actually need

Step 3. Pick a cutover Monday, and do not import open jobs

Choose a Monday two or three weeks out and draw a line at it. Every job finished before that Monday stays in the spreadsheet and gets invoiced the way you have always invoiced it. Every job scheduled on or after that Monday gets typed into the new system by hand.

Do not try to import work in progress. Open jobs carry state that a CSV cannot express: what has been quoted, what parts are on order, what the customer was promised on the phone. A four truck shop has maybe a dozen to twenty jobs on the books at any moment. Typing them in takes about four minutes each, and it doubles as the training session, because the person entering them learns the system on real jobs instead of dummy data.

Step 4. Do not run both systems for two months

This is where we part company with the standard advice. Every enterprise migration guide tells you to run the old system and the new one in parallel for four to eight weeks. For a business with an office manager and four trucks, that advice is actively harmful, because parallel running means double entry, and double entry is exactly how a migration dies. Week one everyone updates both. Week two the spreadsheet gets updated and the software does not. Week three you are back on spreadsheets and the subscription is a line item you cancel in three months.

Instead: one week of overlap, and the spreadsheet is reference only. Nobody edits it. If something is missing from the new system you look it up in the old file and type it into the new one. After that week, close the file. A hard line beats a soft transition when the whole team is five people.

A three week plan for a four truck shop

Here is what this looks like with real numbers. Say you run a plumbing business with four trucks, an office manager, and a customer spreadsheet with 620 rows built up over six years.

  1. Week one, about four hours. Cut 620 rows down to the 380 customers who have paid you in the last 24 months. Split the name and address columns. Fix the phone formatting. Export the CSV. Do this on a Tuesday evening, not a Friday.

  2. Week two, about two hours. Import the customer list and check twenty records against the original sheet. Enter your 40 most quoted line items with prices. Set up your techs as users and put the app on their phones.

  3. Week three, about two hours. Type in the jobs booked from your cutover Monday forward. Tell the crew Friday, not Monday morning, that the new system starts Monday. Keep the spreadsheet open as read only for that week, then close it.

That is roughly eight hours total. If your office manager does it at $25 an hour, the switch costs you about $200 of labor plus the first month of subscription. The month not to do this

Do not switch systems in your busy season. For HVAC that is the first real heat wave and the first hard freeze. For plumbing it is the freeze and the holiday weekends. For landscaping it is spring cleanup. Pick a shoulder month where a slow Tuesday is genuinely slow, because the week after cutover somebody will need to look something up twice, and that is fine on a quiet week and expensive on a booked one.
